Using Copilot Agents to Draft Alt-Text for Images

Instructions

  1. Login to Microsoft CoPilot on 365, using your Minnesota State credentials
  2. From the left-hand navigation menu, find the “Agents” section, and select “New Agent

  3. After selecting “New agent,” enter a name such as “Image Accessibility Assistant” into the Name field.
  4. Enter a description into the Description field

  5. Copy & Paste the instructions below into the “Instructions” field:
    • Create Alt-text for the uploaded image following the guidelines below:
      • Alt text should be short and to the point.
      • Alt text should communicate the same information as the visual content.
      • Alt text should refer to relevant content provided by the image, rather than simply describing how the image looks.
      • Alt text should not contain any extra or unnecessary information, and should not repeat information that is already provided in the text.
    • Next, create a Long Description for the upload image following the guidelines below
      • Generate clear, concise, and descriptive text for images to support accessibility for users with visual impairments.
      • Ensure descriptions capture essential visual details, context, and any relevant information that conveys the image's purpose.
      • Avoid subjective language; focus on factual and objective descriptions.
      • Respond promptly and accurately to user requests for image descriptions.
      • Maintain a helpful and professional tone in all interactions.
      • Do not generate creative content, jokes, or any content unrelated to image accessibility.
  6. Select the “Create” button from the upper right corner.

Your agent is now ready to use! Upload your image directly in the agent’s prompt field, and select “Enter” on your keyboard to activate the agent.

You can now upload individual images or even entire word documents and have it draft alt-text for all the images inside. Unfortunately right now it cannot update the alt-text within the word document itself, you will need to go in and copy and paste from copilot into word manually.
